Registrars – Happy Monday morning!

We wanted to send an email with important dates and things (we think) we have learned about the new system…  It may be long, but please read so that we can all survive this new challenge…

Fees  - Fall 2019 League Fees were due on July 5 and must be submitted with this form -  www.cpysl.net/Downloads/downloadfolder/dwld_96647281_LEAGUE_FEES_FALL_CQL_2019.pdf Outstanding Spring fees are due by July 31.  

Registration – As in the past, submit this form - www.cpysl.net/Downloads/downloadfolder/dwld_70222110_CPYSL_TEAM__PLAYER_REGISTRATION_FALL_2019.pdf - with payment when the team is completely ready to be approved.  We understand that the new system is challenging, so have been lenient with due dates for this form.  For August tournaments, we need this form and payment at least a week before you will need passes.  For league play, submit by August 2 if possible, but if you’re not ready, hold onto it and submit as soon as possible.

Player Passes - It is CPYSL’s policy to print all of the coach and player passes.  The EPYSA system is not ready to print passes or rosters yet, but should be by the end of this week.  

Team Names - When you enter your team in the EPYSA system, please be sure your team name includes your club name.  This is REALLY important.  Please correct any teams that may not include you club name.  Also, teams can not have the same name.  So, if you have 2 teams called Wildcats Lightning, you will need to add U10F or something like that to differentiate them.

Secondary/Primary issue – We are aware that players who should be primary players are showing up in the system as secondary players.  This is something that we can now correct.  Because CPYSL does not allow secondary players for U14 and under, we will change any player that is listed as secondary to primary in those age groups.  For U15 and above, CPYSL allows 2 secondary players per team.  If we see a player registered as secondary in those age groups, we will contact you to see if that is correct.

Birth Certificates – We have been verifying proof of birth and as of now, all birth certificates that could be verified, were verified.  Please check your players and if you see players that are not verified, carefully check to be sure the first and last name match the proof of birth.  Do not include Jr or 111.  Be sure the birth date is correct.  If that all seems fine, check the uploaded document.  Is it an acceptable document (check the registrar handbook)?  Many are too small for us to clearly read, or they are too blurry.  Please re-upload a larger, clearer copy.  If you need to correct the name, EPYSA recommends that you update the association ID first.  If you don’t, the proof of birth will need to be re-uploaded.  In all cases, check to be sure the proof of birth is uploaded after making any updates.

The Process – After your team is in the system with proof of birth for all players, CPYSL will approve the team.   You will then need to go into your Club Connect system and “Register for a league or tournament”.  CPYSL will then accept your club and you’re officially and completely registered.  Your team packet with roster, passes and score cards will be ready within a week.
